PRIVACY POLICY

Welcome to the World Cosplay Summit Executive Office (hereinafter referred to as “the Office”). The Office has established the following privacy policy (hereinafter referred to as “this Policy”) regarding the handling of personal information of customers (hereinafter referred to as “users”) in the services provided by the Office (hereinafter referred to as “the Service”). The personal information of customers will be handled by the Office or a company provided by the Office under a strict contract, recognizing the importance of users’ personal information and establishing a privacy policy to appropriately collect, use, and protect such information, as well as to manage its security.

Article 1 (Definition of Personal Information)

“Personal information” refers to “personal information” as defined in the Personal Information Protection Law, which includes information about a living individual that can identify the specific individual by name, date of birth, address, telephone number, contact information, and other descriptions, as well as data related to physical appearance, fingerprints, voice prints, and the insurance number on the health insurance card, which can identify the specific individual from the information alone (personal identification information).

Article 2 (Safety Management of Personal Information)

  • The Office shall take appropriate safety management measures in accordance with laws and guidelines to prevent leakage, loss, or damage of personal information and strive to protect the personal information held. The Office will also educate its employees on the proper handling of personal information and strive to ensure its protection.
  • The Office may provide all or part of the personal information handling to a third party within the scope necessary to achieve the purpose of use. In this case, the Office will supervise the third party to ensure the safe management of personal information.

Article 3 (Method of Collecting Personal Information)

The Office may ask for personal information such as name, date of birth, address, telephone number, and email address when users register for the Service. The Office may also collect information from partners (including information providers, advertisers, and advertisement distributors, hereinafter referred to as “partners”).

Article 4 (Purpose of Collecting and Using Personal Information)

The purposes for which the Office collects and uses personal information are as follows:

For the provision and operation of the Office Service

  • To respond to inquiries from users (including identity verification)
  • To send emails about new features, updates, campaigns, and other services provided by the Office
  • For necessary communications such as maintenance and important notices
  • To identify users who violate the terms of use or attempt to use the service for fraudulent or unjust purposes and to refuse their use
  • To allow users to view, modify, delete their registration information, and view their usage status
  • For purposes related to the above purposes

Article 5 (Change of Purpose of Use)

The Office will change the purpose of use of personal information only when it is reasonably recognized that the new purpose is related to the original purpose. If the purpose of use is changed, the Office will notify the user or announce it on this website in the manner prescribed by the Office.

Article 6 (Provision of Personal Information to Third Parties)

The Office will not provide personal information to third parties, except in the cases listed below or as permitted by the Personal Information Protection Law and other laws.

  • With prior consent from the user
  • When it is necessary to protect a person’s life, body, or property, and it is difficult to obtain the individual’s consent
  • When it is necessary to cooperate with a national institution, a local public body, or an individual or entity that has been entrusted by them to execute the provisions of the law, and obtaining the individual’s consent would impede the execution of the affairs
  • When requested to disclose personal information by a court, public prosecutor’s office, police, or an authority with equivalent powers
  • When the following matters have been notified or announced in advance, and the Office has filed a notification with the Personal Information Protection Commission:
    • That the purpose of use includes providing to third parties
    • The items of data provided to third parties
    • The means or method of provision to third parties
    • Stopping the provision of personal information to third parties upon the individual’s request
    • The method for accepting the individual’s request

Notwithstanding the provisions of the preceding paragraph, the following cases are not considered third-party provision:

  • When the Office provides all or part of the handling of personal information within the scope necessary to achieve the purpose of use
  • When personal information is provided due to a merger or other reasons for business succession
  • When personal information is used jointly between specific individuals, and the individual has been notified in advance or is in a readily accessible condition regarding the fact of joint use, the items of personal information to be jointly used, the scope of the joint users, the purpose of use of the users, and the name or title of the individual or entity responsible for managing the personal information
