The World Cosplay Summit Operations Office (hereinafter referred to as “the Office”) hereby establishes this Privacy Policy (hereinafter referred to as “this Policy”) regarding the handling of personal information of customers (hereinafter referred to as “users”) in relation to services provided by the Office (hereinafter referred to as “the Office Services”). Personal information of customers will be recognized as important, appropriately collected, used, and protected, and managed securely by the Office or by companies under strict contracts with the Office. This Privacy Policy outlines the practices implemented as follows.

Article 1 (Definition of Personal Information)

“Personal information” refers to “personal information” as defined by the Personal Information Protection Law. It includes information related to a living individual, such as name, date of birth, address, phone number, and other details that can identify a specific individual, as well as data on physical appearance, fingerprints, voiceprints, health insurance card numbers, and other information that can identify a specific individual from the data alone (personal identification information).

Article 2 (Management of Personal Information)

  • The Office will implement appropriate safety management measures in compliance with laws and guidelines to prevent leakage, loss, or damage of personal information and strive to protect the personal information it holds. Employees will also be educated on proper handling of personal information to ensure its protection.
  • The Office may provide part or all of the handling of personal information to third parties to achieve the purpose of use. In such cases, the Office will conduct necessary and appropriate supervision to ensure the safety management of personal information at the receiving party.

Article 3 (Methods of Collecting Personal Information)

The Office may ask for personal information such as name, date of birth, address, phone number, and email address when users register for services. It may also collect information from its partners (including information providers, advertisers, and ad distributors, hereinafter referred to as “partners”).

Article 4 (Purpose of Collecting and Using Personal Information)

The purposes for which the Office collects and uses personal information are as follows:

To provide and operate the Office Services

  • To respond to user inquiries (including identity verification)
  • To send emails regarding new features, updates, campaigns, and other services provided by the Office
  • To contact users as necessary for maintenance or important notices
  • To identify and refuse service to users who violate terms of use or attempt to use services for fraudulent or unjust purposes
  • To allow users to view, change, delete their registered information, and review their usage status
  • For purposes incidental to the above purposes

Article 5 (Changes to Purpose of Use)

The Office may change the purpose of use of personal information only when it is reasonably deemed relevant to the purpose before the change.
If the purpose of use is changed, the Office will notify users or publicly announce the changes on this website in a manner determined by the Office.

Article 6 (Provision of Personal Information to Third Parties)

The Office will not provide personal information to third parties except in the following cases or unless permitted by the Personal Information Protection Law or other laws:

  • When prior consent has been obtained from the user
  • When it is necessary to protect the life, body, or property of a person, and obtaining the consent of the individual is difficult
  • When it is necessary to cooperate with national institutions, local governments, or parties entrusted by them in performing duties prescribed by law, and obtaining the consent of the individual may interfere with the execution of such duties
  • When disclosure of personal information is requested by courts, public prosecutors’ offices, police, or other entities with similar authority
  • When the following information has been notified or publicly announced in advance, and the Office has notified the Personal Information Protection Commission:
    • Including provision to third parties in the purpose of use
    • Items of data provided to third parties
    • Means or methods of provision to third parties
    • Stopping provision to third parties at the request of the individual
    • How to accept requests from individuals

Notwithstanding the provisions of the preceding paragraph, the following cases do not constitute third-party provision:

  • When the Office entrusts all or part of personal information handling within the scope necessary for achieving the purpose of use
  • When personal information is provided due to business succession through merger or other reasons
  • When personal information is used jointly with specific entities, and the individual is notified or can easily access details regarding the joint use

Article 7 (Use of Cookies)
